Policy Administrator
Career Description
We are actively seeking a Policy Administrator to join our team in our Lake Mary, FL office. This role reports directly to our Director, Client Service Consulting, and works closely with other associates to support the administration and servicing of corporate-owned life insurance products. This position is responsible for the management of scheduled premium billing, servicing of existing policies, and coordination of policy withdrawals and death benefit reductions. The role also includes processing death sweeps, filing claims, and ensuring timely tracking and delivery of IRS Form 101J. The Policy Administrator serves as a key liaison between clients, carriers, and internal teams to help ensure accurate, compliant, and efficient policy operations throughout the policy lifecycle.
Responsibilities include (but are not limited to):
• Serve as the primary contact for carriers and internal teams as it relates to the service and maintenance of existing policies.
• Facilitate clear and timely communication to ensure smooth policy operations.
• Respond to inquiries regarding policy details, changes, and servicing requests. Provide guidance and proactive support to ensure client satisfaction and policy accuracy.
• Maintain and update policy records across internal systems, ensuring completeness, accuracy and compliance with regulatory and company standards.
• Monitor premium payment schedules, policy values and other key metrics
• Coordinate and process death sweeps and claims filing, including gathering necessary documentation, submitting claims to carriers, and tracking resolution.
• Oversee the tracking and timely delivery to IRS Form 101J, ensuring accurate reporting and adherence to regulatory deadlines.
• Engage in process improvement initiatives that enhance department/inter-department workflow.
Required Skills and Qualifications:
• Bachelor’s degree in business or related fields
• 3-5 years of experience in insurance administration or related field
• Excellent analytical and problem-solving skills
• Highly professional, organized and growth oriented
• Excellent written and verbal communication skills, including the ability to coordinate and lead comprehensive meetings attended by senior-level executives.
• Proficiency with Microsoft Office products including Excel, Word and PowerPoint
Preferred Skills and Qualifications:
• Familiarity with nonqualified deferred compensation plans a plus
